Event Planet was engaged to manage a unique Annual International Conference Program in Sydney, for over 180 guests from over 40 different countries. The multi-day event involved four days of conferencing, workshops, networking, team building and nightly special events.
Leading up to the 4 day program, with an Aim High, Win Together theme, Event Planet was tasked with the concept and delivery of the event identity including the design of the logo and event collateral such as registration website, smartphone app, PowerPoint presentations, conference animations, lanyards and name badges to be used throughout the program.
Upon commencement, Event Planet greeted guests at the airport with a private transfer to the hotel, Sheraton on the Park. Welcomed by an Indigenous themed cocktail party, guests were fully immersed into a uniquely Australian experience with a didgeridoo performance, interactive dot painting and music workshops and a carefully crafted menu with gourmet delights such as Kangaroo Vol au Vent and Emu skewers.
The Welcome Party was followed with 3 full days of conferencing and workshops. Plenary sessions were held in the Grand Ballroom and featured an impressive custom-designed 25m wide, full image projection screen and interactive technology that allowed guests to ask questions and engage with the panel speakers. Each day hosted several speakers, including a motivational speech by Australian sailing legend Tony Mowbray.
Each day of the program included carefully crafted team building and bespoke nightly occasions:
NIGHT 2 – A convict-themed excursion to Fort Denison featuring a traditional Rum tasting bar, Australian wine showcase, Australian cheeses and a charcuterie station. Wait staff dressed as English guards served canapés in a marquee finished with rustic and stylish theming such as oil lamps, wooden furniture, timber barrels and hay bales.
NIGHT 3 – Afternoon sailing on Sydney Harbour complete with personalised branded caps and spray jackets followed by a traditional Aussie BBQ on world famous Bondi Beach hosted by ironman and Olympian Jim Walker.
NIGHT 4 – A black tie event at the heritage-listed Strickland House, beautifully styled with centerpieces of driftwood, orchids and seashells and gently illuminated by hundreds of overhanging bud lights.
Entertainment on the night included a formal Closing Ceremony video, children’s choir performance and fireworks grand finale accompanied by Australian award-winning songstress Christine Anu.
After four days of conference, it was time for guests to depart with new networks, friends, knowledge and memories – and of course photos from their GoPro gifts! As Event Planet bid farewell to the guests (now well known to the team) they happily acknowledged that this was the “Best Program they had ever experienced”.
